Kallabot doesn't stop when the call does.

The conversation is half the job. The other half is everything that has to happen afterwards — the contact, the summary, the appointment, the follow-up — landing in your stack without anyone typing it.

01After the call

Workflows move the outcome into your stack.

The call is worthless if someone still has to type it up. A workflow picks up the moment the agent hangs up — the transcript, the summary, the disposition, the fields it captured — and files it wherever it belongs.

  • Trigger on call ended, lead qualified, viewing booked, or transfer missed
  • 750+ apps, plus anything with an API through a custom step
  • Branch, filter, delay, and loop without writing code
  • Run it the other way too: a new portal lead can trigger an outbound call

What people build

Eight things worth wiring on your first afternoon.

These aren't hypotheticals — they're the patterns real estate teams put in first, in roughly the order they put them in.

Speed to lead

Portal inquiry to booked viewing, in under a minute.

Trigger — A lead lands from Zillow, Realtor.com, or your site form.

  1. 01Kallabot dials the lead within 60 seconds, while they're still on the listing page
  2. 02Qualifies budget, timeline, pre-approval status, and which property they're calling about
  3. 03Offers the listing agent's real availability and books the viewing on the spot
  4. 04Writes the contact, the summary, and the appointment into Follow Up Boss

Result — The lead is qualified and booked before a competitor has opened the email.

Overflow

Your agent is showing a house. The call still gets answered.

Trigger — A call to an agent's line goes unanswered, or they flip themselves to busy.

  1. 01The call rolls to Kallabot instead of voicemail
  2. 02The agent qualifies the caller and captures what they wanted
  3. 03If it's hot and someone else is free, it warm-transfers with a spoken summary
  4. 04If nobody's free, it books a callback into the agent's calendar

Result — No voicemail, no lost inquiry, and the agent comes back to context instead of a missed-call badge.

After hours

After six, the AI takes the desk.

Trigger — The clock passes your cutoff — an expression edge on the current hour and weekday.

  1. 01Before cutoff, calls try the on-duty human first and fall back to the agent
  2. 02After cutoff, Kallabot answers directly and qualifies in full
  3. 03Genuinely urgent calls still break through to the on-call number
  4. 04Everything else is queued for the morning

Result — A Slack digest of every overnight lead, ranked, waiting at 8am.

Recovery

Missed call, instant callback.

Trigger — Any inbound call ends without being answered.

  1. 01A webhook fires the moment the call drops
  2. 02Kallabot rings back within the minute, while they still remember dialling
  3. 03Opens with the reason they called if the number matches a known lead
  4. 04Routes or books from there like any other inbound

Result — The 30–40% of inbound that normally dies in voicemail comes back.

Live data

"Is 42 Oakwood still available?"

Trigger — The caller asks something only your system knows.

  1. 01The agent calls a custom API tool mid-sentence — your MLS feed, your inventory, your pricing
  2. 02The response comes back into the conversation, not into a log
  3. 03The agent answers with the real number, then keeps going
  4. 04The lookup is recorded against the call for audit

Result — Straight answers about real listings, instead of "let me have someone call you back".

Outbound

Open house sign-in sheet, worked by lunchtime.

Trigger — You upload Sunday's sign-in sheet as a contact list.

  1. 01A campaign dials the whole list Monday morning at a pace you set
  2. 02Each call opens with the property they actually walked through
  3. 03Interested buyers get booked; the rest get a clean disposition
  4. 04Hot ones warm-transfer straight to the listing agent

Result — Forty names worked properly by lunch, instead of six worked and thirty-four forgotten.

Context

It remembers the caller who rang last Tuesday.

Trigger — A number calls in that Kallabot has spoken to before.

  1. 01The caller is matched to their contact record before the agent says hello
  2. 02Their last conversation, the properties discussed, and where it left off load into context
  3. 03The agent opens with that, instead of starting from nothing
  4. 04The thread continues on the record rather than forking a new one

Result — Callers stop repeating themselves, and the second call sounds like the same company as the first.

Routing

Buyers and sellers should never hear the same script.

Trigger — The caller says why they're calling.

  1. 01One question splits the call: buying, selling, renting, or already a client
  2. 02Each branch runs its own questions and its own qualification bar
  3. 03Sellers route to your listing side, buyers to whoever's on duty
  4. 04Existing clients skip qualification entirely and go straight through

Result — One number, four conversations, and nobody sits through the wrong one.

Time-based routing

At 5:59 it rings your agent. At 6:01 it rings the AI.

Routing reads the clock, the weekday, the caller, and whatever your API just told it — then picks a branch instantly, with no model round-trip to slow the call down. Business hours, weekends, holidays, and the agent who's mid-showing all fall out of the same rule.

The catalogue

Your CRM is almost certainly on this list.

When it isn't listed

Every platform has a logo wall. This is what happens past it.

Most of what a real estate team runs is a logo. The interesting part — your inventory, your pricing rules, the internal thing someone built in 2019 — never is.

Custom API tools

Point an agent at any HTTP endpoint and describe when to call it. It'll use it mid-conversation and speak the answer.

Define the schema, headers, and auth once. Test it from the dashboard before it ever touches a live call.

Webhooks both ways

Every call fires its transcript, summary, disposition, duration, and cost at your endpoint when it ends.

Outbound URLs are SSRF-validated. Inbound, a webhook can start a call, load a campaign, or update an agent.

MCP servers

Already have an MCP server? Connect it and every tool it exposes becomes something the agent can use on a call.

No per-tool wiring — the agent discovers what's available and picks the right one from your descriptions.

Questions

Before you wire anything.

What if my CRM isn't listed?

Then it's a custom tool rather than a click. Anything with an API can be reached — the logos are the ones we've pre-wired, not the limit. If you can show us the endpoint, the agent can call it.

Do I need a developer to set this up?

Not for the common ones. Connecting a CRM, booking into a calendar, and posting to Slack are all click-through. A custom API tool against your own system is where you'd want someone technical for an hour.

Can a workflow start a call, rather than just react to one?

Yes, and that's the speed-to-lead pattern. A new portal lead hits a workflow, the workflow starts an outbound call, and the whole thing runs without anyone touching it.

Where does the data actually live?

Calls, transcripts, and recordings sit in your workspace and are yours to export. Integrations push copies into your tools; they don't move the record out of reach.

Bring your stack. We'll show you the wiring.

Tell us the CRM, the portals you buy leads from, and where your team lives all day. We'll show you the exact recipe on a call, against your setup rather than a demo account.

No contracts. Cancel anytime. Data stays yours.
